how we look after your details.
Who we are
Naras Property Management is a trading name of Naras Real Estate Ltd, a company registered in England & Wales (company number 15654794) with its registered office at 47 Miall Road, Birmingham, England, B28 9BS.
We are the “controller” of the personal information described in this policy, which means we decide how and why it is used. We are registered with the Information Commissioner’s Office (ICO), the UK’s data protection regulator.
For anything about your privacy, contact us at info@narasholiday.co.uk, on 0121 828 9889, or by post at the address above.
What we collect
What you give us in the proposal form
- Your full name, phone number and email address
- The address and postcode of the property
- The number of bedrooms and bathrooms, the property type, whether it is furnished, and your earliest available start date
What you send us directly
If you email, phone or message us on WhatsApp, we keep the message and the contact details on it so we can reply and remember the conversation.
Technical information, for security
When you submit the form or use our staff sign-in page, we briefly record your IP address to limit repeated or abusive requests. Our hosting provider also keeps standard server logs (IP address, browser type, the page requested and the time) to keep the site secure and fix faults.
We do not collect payment details through this website, and we do not ask for sensitive “special category” information. The site is for property owners, and we do not knowingly collect information about children.
How we use it
UK data protection law requires us to have a valid reason (a “lawful basis”) for each use of your information. Ours are:
| What we do | Our lawful basis |
|---|---|
| Read your enquiry, contact you and prepare a proposal for managing your property | Taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries |
| Keep a record of enquiries and follow them up | Legitimate interests: running our business and keeping accurate records |
| Prevent spam, abuse and unauthorised access to the site and its data | Legitimate interests: keeping the website and your information secure |
| Meet legal duties if we go on to act for you, such as anti-money-laundering checks and keeping accounts | Legal obligation |
We do not send marketing emails, we do not sell your details, and we do not make automated decisions or build profiles about you. If we ever want to send you marketing, we will ask you first.
Who we share it with
- Hostinger, our website hosting provider, which stores the website and the database that holds enquiries.
- Google (Gmail), which provides our email. The website sends a notification to our inbox when an enquiry arrives, and Google also handles our email correspondence with you.
- WhatsApp (Meta), only if you choose to message us there. WhatsApp handles those messages under its own privacy policy.
- Professional advisers, regulators or law enforcement, where the law requires it or where we need to protect our legal rights.
Hosting and email providers act on our instructions. We do not sell your personal information to anyone.
Transfers outside the UK
Some of the providers above may process information outside the UK. Where they do, the transfer is covered by a safeguard recognised under UK data protection law, such as an adequacy decision or approved standard contractual clauses.
How long we keep it
- Enquiries that do not lead to an agreement: up to 12 months after your last contact with us, then deleted.
- If we go on to work together: for the length of our agreement and afterwards for as long as the law requires. Records kept for anti-money-laundering and tax purposes are generally held for at least five to six years.
- IP addresses recorded to prevent abuse: deleted automatically after 24 hours.
- Server logs: kept by our hosting provider for its standard period.
Keeping it secure
The website uses HTTPS, so what you type into the form is encrypted on its way to us. Enquiries are stored in a database behind a password-protected staff area, sign-in attempts and form submissions are rate-limited, and access is restricted to the people who need it. No online system is perfectly secure, but we take reasonable steps to protect your information and will tell you and the ICO about a breach where the law requires us to.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete your information, in some circumstances;
- ask us to restrict how we use your information, in some circumstances;
- object to us using your information based on our legitimate interests;
- ask for the information you gave us in a portable format; and
- withdraw consent, where we rely on it, at any time.
To use any of these rights, email info@narasholiday.co.uk. There is no charge, and we will reply within one month. We may need to check your identity first.
If you are unhappy with how we have handled your information, you can complain to the ICO at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.

We do not use tracking, analytics or advertising cookies. See our Cookie policy for the full detail.
